Role Purpose
To provide comprehensive administrative and secretarial support to the department/facility. The role ensures smooth daily operations through effective document management, coordination of meetings, and adherence to Public Service policies.
Key Responsibilities
Office Management: Manage the diary of the manager/department, coordinate meetings, and handle all travel arrangements.
Document Control: Draft correspondence, reports, and minutes; manage the filing system and ensure the confidentiality of records.
Financial Administration: Assist with budget monitoring, procurement of office supplies, and processing of invoices/claims.
Communication: Serve as the first point of contact for the office; handle telephonic queries and liaise with internal and external stakeholders.
Compliance: Ensure all administrative activities align with the Public Service Act and Departmental policies.
Minimum Requirements
Education: Grade 12 (Matric) with a National Diploma or Degree in Public Administration, Office Management, or a related field (NQF Level 6/7).
Experience: 1–3 years of experience in an administrative or secretarial environment.
Technical Skills: * Advanced computer literacy (MS Office: Word, Excel, PowerPoint).
Knowledge of the Public Service regulatory framework.
Soft Skills: Excellent verbal and written communication, time management, and the ability to work under pressure.
