Operations Controller
Position: Full-Time
Job Overview:
The Operations Controller is responsible for overseeing the efficiency and effectiveness of all courier and linehaul routes, whether by air or road. This role involves managing the Express Cape Town Branch to ensure optimal operational and administrative performance, maintaining client standards, and ensuring cost-effective routing and consolidation of freight.
Key Responsibilities:
Hub Operations:
- Manage freight according to client requirements.
- Oversee vehicle debriefing, including PODs (Proof of Deliveries) and collections, and investigate missing PODs in coordination with the Operations Manager.
- Supervise daily branch operations, ensuring timely departure and arrival of all vehicles.
- Confirm that freight is collected and lodged with logistics partners as scheduled.
- Ensure completion of driver checklists, vehicle inspections, and mobile phone allocations. Ensure that Express freight is dispatched by 7:45 AM.
- Monitor parcel sorting in the warehouse, ensuring correct routing and manifesting of freight.
- Verify that drivers carry valid Driver’s Licenses and PDPs (Professional Driving Permits) at all times.
- Ensure drivers complete bi-annual DTA (Defensive Training Academy) training and manage medical certifications timely. Drivers must not operate without a valid license.
- Confirm that drivers have the necessary documentation every morning and record this on the checklist.
- Ensure that the floor and 1x1x1 reports are accurate. Regularly review billing and close PODs daily.
- Complete and update statistics reports, and submit them to the Branch Manager.
- Handle non-conforming items as per claims procedures, and take corrective actions to prevent future issues. Address all claims within 48 hours in collaboration with the National Operations Manager.
- Report any client-related issues immediately to management.
- Document and sign off on training sessions conducted with the Branch Manager, and submit these records to the National Operations Manager.
Air & Road Freight:
- Manage airfreight operations in compliance with agreed standards.
- Update flight schedules daily and ensure timely lodging of all freight.
- Process incoming airfreight, ensuring it is cleared from the system upon arrival.
- Complete all airfreight documentation promptly.
- Manage incoming road freight similarly, ensuring timely processing and documentation.
- Accurately complete all international and cross-border paperwork.
- Ensure correct consolidation of freight for both air and road transport, including separate manifesting and direct flights as needed.
Freight Tracking:
- Handle all network partner queries, including tracking and reconciliation of collections and deliveries.
- Address issues related to misrouted parcels, missing shipments, and KPI failures, and report them to the Branch Manager promptly.
- Action daily report inputs in a timely manner and resolve queries within 45 minutes.
- Handle quotes efficiently and maintain accurate records for traceability and historical data analysis.
Client Liaison:
- Receive and process collection requests via phone, entering them into Freightware and advising the relevant parties.
