Key Responsibilities
- Data Capture and Processing
- Accurately capture, process, and maintain all client-related information.
- Ensure that all data is entered with precision to prevent errors and inconsistencies.
- Handling Contracts and Quotations
- Receive and process all contracts, costing sheets, and quotations for both new and existing clients.
- Work closely with the Technical Coordinator to schedule client appointments based on the processed information.
- Query Resolution and Communication
- Promptly inform the Admin Coordinator of any discrepancies or issues found in contracts, costing sheets, or quotations.
- Address and resolve internal and external customer queries in a timely manner, adhering to departmental service level agreements (SLAs) Database Management
- Ensure that all data is correctly entered into the Listener system.
- Maintain and update the customer database regularly to ensure accuracy and reliability.
- Documentation and Compliance
- Ensure that all client application forms (CAF) are captured and filed daily.
- Provide necessary customer record information to dealers to facilitate installations and services.
- Submit all original contracts merged with client application forms to the auditor daily.
- Due Diligence and Communication
- Conduct due diligence calls to verify contract purchases and communicate findings to Dealer Administrators.
- Ensure adherence to disciplinary codes and standard operating procedures (SOPs).
- Quality Assurance
- Review invoices for accuracy before delivery.
- Improve existing billing procedures to minimize errors and enhance efficiency.
- Ethical and Regulatory Compliance
- Adhere to SOX compliance and other relevant regulations.
- Uphold the Big 5 principles of the company at all times.
Minimum Requirements
- Educational Qualification
- A Matriculation certificate is required for this role.
- Skills and Attributes
- Excellent verbal and written communication skills.
- Proficiency in computer applications, particularly Excel.
- Experience in listener management systems is advantageous.
- Strong organizational and supervisory skills.
